Company Metadata Engine
Set up your company profile once. Every annexure fills itself — forever.
- One-time setup
- AI Auto-Fill
- Every tender, every annexure, every time
The Problem
Does this sound familiar?
“Our bid coordinator fills in the same company details across 15 annexures every single tender.”
“Someone fills in the same company details across every tender's annexures from scratch, every time.”
Company name, registration number, PAN, GST, turnover figures, key personnel, certifications. The same fields. The same answers. Repeated manually across 10 to 20 annexures per tender — every single time.
“We've had bids rejected because of errors in annexures filled under time pressure.”
A wrong financial year in the turnover declaration. A missing signature field. An incorrectly formatted date. Manual filling under deadline pressure means errors creep in — and sometimes they cost the bid.
“We can never find the right supporting document when we need it for a tender.”
The ISO certificate is in an email from 2022. The completion certificate is on someone's laptop. The registration document exists in three versions across two shared drives. Every tender starts with a document hunt.
Company Metadata Engine stores your company profile once and auto-fills every tender's annexures from that stored data, every time. It doesn't matter whether you're a CEO who wants to eliminate bid preparation errors, a CFO tracking the cost of manual administrative work, a bid coordinator who has been filling in the same fields for years, or a director who has watched good bids get rejected over clerical mistakes. Set it up once. Every tender benefits from it forever.
How It Works
Step by step
Five steps from a one-time profile setup to every annexure auto-filled across every future tender.
Step 01
Set up your company profile once
Enter your company details across six structured sections: General Information (name, registration, PAN, GST, address), Contact Persons (key contacts with designations and authority levels), Work Experience (past projects with client, value, scope, and completion date), Certifications (all licences and statutory registrations with validity dates), Financial Details (annual turnover by year, net worth, banker details), and Tender Repository (folder-based document storage). Upload supporting documents to each section.
Step 02
Keendex identifies all annexures in the tender
When Annexures is selected as an extraction section, Keendex identifies and lists every annexure, appendix, and declaration in the tender document — in the same order as they appear — with their names, section references, and required fields visible before any filling begins.
Step 03
Select an annexure and trigger AI Auto-Fill
Open any extracted annexure and select AI Auto-Fill. The system reads the annexure structure, identifies every field that can be populated from your stored metadata, and fills them automatically. The match is intelligent — it reads field context, not just field labels, so it fills correctly even when field names differ between tenders.
Step 04
Review and edit directly on the web page
The auto-filled annexure is displayed as an editable document within Keendex. Review every field, make corrections, add tender-specific information, and save — without downloading or opening a separate application.
Step 05
Export and compile into your bid response
Download the completed annexure as PDF or Word. All filled annexures are available directly in the Response Compiler for final bid pack assembly — alongside the technical response, pricing schedules, and supporting documents.
In Practice
What a real day looks like
Real scenario
A bid coordinator at a consulting firm prepares bid responses for multiple tenders per month. Each tender has between 12 and 22 annexures. Every tender she fills in the same company details from scratch across all of them. The task takes several hours per tender. On larger tenders, it takes a full day.
She sets up the Company Metadata Engine once — 90 minutes to enter all company details, upload certifications, and build the Briefcase folder structure.
On the next tender — a ₹45 crore PMC assignment with 18 annexures — she triggers AI Auto-Fill across all 18. Within minutes, 16 of the 18 annexures are populated. Two require manual input for tender-specific fields. She reviews, corrects two entries, and exports the full set.
The task that used to take several hours takes a short time. She uses the saved time to improve the technical proposal. The firm wins the assignment.
What You'll Stop Doing
What you'll stop doing
These are the activities Company Metadata Engine makes unnecessary from the first tender you run through it.
- Manually filling in the same company information across 10–20 annexures for every tender from scratch, every time.
- Having bids rejected or disqualified because of errors in annexures filled under deadline pressure.
- Spending hours hunting for the right supporting document across shared drives, email threads, and personal laptops for every bid.
- Assigning experienced bid staff to clerical form-filling work because there is no better way to get it done in time.
- Submitting outdated certifications or incorrect turnover figures because the company profile was never centralised.
FAQs
Frequently asked questions
Six questions that address the most common points of hesitation before a team commits to using Company Metadata Engine on a live tender.
How long does the initial setup take?
For most organisations, the initial company profile setup is completed in a single session — entering structured data across six sections and uploading supporting documents. Once set up, the profile is available across every tender immediately. Updates take minutes, not a full re-setup.
What happens when company details change — new turnover figures, renewed certifications?
Update the relevant section in the Metadata Engine — new financial year turnover, renewed ISO certificate, updated bank details. The update takes effect immediately across all future auto-fills. Completed annexures from previous tenders are not affected.
Can multiple team members update the company profile?
Access to the Metadata Engine is role-controlled. Admin users can update the company profile. Member users can view and use the profile for auto-fill but cannot edit it — preventing accidental overwriting of verified company data.
What if an annexure has fields that are not in our company profile?
Fields that cannot be matched to stored metadata are left blank and flagged for manual completion. The system indicates which fields were auto-filled and which require manual entry — so the team knows exactly where to focus their review.
Can we attach supporting documents like ISO certificates or registration copies directly to the company profile?
Yes. Each metadata field that relates to a certification or registration has a document attachment slot. Uploaded files are stored against the relevant credential and surfaced automatically when that field is used in an annexure auto-fill — so your team always has the supporting document alongside the data.
Is the company data encrypted?
Yes. All data stored in the Company Metadata Engine — including financial details, certifications, and supporting documents — is protected with AES-256 encryption. Only your team holds the decryption key. No Keendex administrator can access your plain-text company data.
