PQ Extraction Engine
Stop reading tenders to find out if you qualify to bid.
- AI reads every clause
- Extracts all PQ criteria
- Cross-references your company profile
The Problem
Does this sound familiar?
“We committed to a bid and found an eligibility gap deep into preparation.”
“We're bidding on more tenders than our team can properly review.”
Volume is growing but bandwidth isn't. Tenders get a quick read not a thorough one. Eligibility criteria are skimmed. Something always gets missed.
“We've committed to bids and found out too late that we didn't qualify.”
The eligibility gap was in the document. Nobody caught it until after the team spent two weeks on bid prep or worse, after submission.
“Our bid decisions are based on gut feel, not data.”
Leadership approves bids without a clear picture of eligibility, risk, or commercial fit. The decision is only as good as whoever read the tender last.
PQ Extraction Engine eliminates the root cause of all three situations — manual reading of eligibility criteria. It doesn't matter whether you're a CEO evaluating bid strategy, a CFO measuring the cost of lost bids, a Director signing off on resources, or the person who actually reads the documents. The result is the same: your team knows exactly where it stands before committing a single hour to bid preparation.
How It Works
Step by step
Five steps — each with full context on what your team sees, what the engine is doing, and what they walk away with at that stage.
Step 01
Upload your tender document
Upload your tender in any format — PDF, scanned file, ZIP, DOCX, or HTML. Keendex accepts what the portal sends you, without any pre-processing, reformatting, or file conversion. Multi-volume tenders can be uploaded as a single ZIP — the engine processes all volumes together.
Step 02
Select your AI model and extraction sections
Choose the AI model that fits the complexity of the document. Select Pre-Qualification as one of your extraction targets along with any other sections you need. The engine finds eligibility-dense sections automatically — no manual clause navigation.
Step 03
AI reads the full document — not just the PQ section
The engine reads the entire document — not just sections labelled “Eligibility.” It identifies six criterion types: financial thresholds, work experience, certifications, statutory registrations, technical capacity, and manpower requirements. Every criterion is displayed with its exact wording, the page it was found on, and a match status against your Company Metadata.
Step 04
Cross-reference against your Company Metadata
Each extracted criterion is automatically compared against your stored company profile — turnover figures, certifications held, completed project values, key personnel credentials, and statutory registrations. Matches are confirmed. Gaps are flagged with a clear description of what's missing and where it was required.
Step 05
Download your PQ extraction report
Download your extracted PQ criteria as a clean report — Excel, Word, or PDF — with clause references intact. Share with your bid team, attach to your bid management system, or use directly in your Go / No-Go decision.
In Practice
What a real day looks like
Real scenario
A bid team receives a large infrastructure project RFP on a Monday morning. Submission is in an extended period. Their most experienced bid reviewer is already committed to two other live tenders. The document has been sitting in the shared drive since 8am. Nobody has opened it.
They upload the document to Keendex at 9:04am. At 9:11am — minutes later — every pre-qualification criterion has been extracted, structured, and cross-referenced against the company's stored profile. The system identifies seven criteria in total. Five are confirmed. Two have gaps: a certification that expired last quarter, and a similar work value threshold that sits ₹5 crore above the company's highest completed project.
By 9:15am, the bid lead has a clear picture — eligibility status, gap details, and source page references for every criterion. Not from reading 240 pages. From reading one screen.
The team raises two pre-bid clarification queries on the similar work definition before the pre-bid meeting. They receive a relaxation that resolves one gap. The certification is expedited. A compliant bid is submitted on day 14.
They win the project.
What You'll Stop Doing
What you'll stop doing
These are the activities PQ Extraction Engine makes unnecessary from the first tender you run through it.
- Spending hours reading a tender document before anyone knows whether your organisation qualifies to bid.
- Mobilising a full bid team — estimator, writers, coordinators — before eligibility has been confirmed.
- Missing a statutory registration or certification requirement buried in a schedule at the back of a 200-page document.
- Re-reading the same PQ structure on every CPWD, NHAI, Railways, or state authority tender your team pursues.
- Discovering an eligibility gap after the pre-bid meeting window has closed and it's too late to raise a clarification.
- Relying on whoever is available to read the document rather than a system that reads everything, every time.
FAQs
Frequently asked questions
Four questions that address the most common points of hesitation before a team commits to using PQ Extraction Engine on a live tender.
What if PQ criteria are spread across multiple sections of a tender?
The engine reads the entire document — not just sections labelled “Eligibility” or “Pre-Qualification.” Criteria buried in schedules, general conditions, and appendices are extracted alongside those in dedicated PQ sections. Nothing is missed because of where it sits in the document structure.
Can I configure extraction for my specific sector or authority type?
Yes. The Template Manager allows you to customise extraction parameters — adding sector-specific criteria, adjusting terminology for government, PSU, or private sector tenders, and prioritising the fields most relevant to your business. Templates can be saved and reused across tenders.
Can PQ extraction results be shared with the rest of my team?
Yes. All extraction results are stored in your history module and accessible to team members with appropriate role permissions. Results can be exported as PDF, Word, or Excel for review in management meetings or team briefings.
What if I want to re-run the extraction with a different AI model?
Re-extraction is available at any time from the History module. Select a different AI model, re-run, and compare outputs. Both versions are stored so your team can choose the result that best serves the bid decision.
